Privacy Policy

DC Solar LLC (doing business as DC Solar KC) respects your privacy. This policy explains what personal information we collect, why we collect it, how we use and share it, and the choices you have. It is written in plain language on purpose — if anything here is unclear, contact us using the details in section 13.

1. Who we are and what this policy covers

DC Solar LLC is a solar installation company based in Lee's Summit, MO, serving the greater Kansas City metro in Missouri and Kansas. We provide residential and commercial solar installation, and solar panel removal and reinstallation for roofing work and insurance claims.

This policy applies to personal information we collect through:

  • Our website at dcsolarkc.com, including the quote request form.
  • The DC Solar KC customer portal and mobile app (available on the web at app.dcsolarkc.com and through Apple TestFlight / the App Store), where customers can view their projects, estimates, invoices, and messages.
  • Direct contact — phone calls, text messages, email, in-person site visits, and paperwork related to your project.

The same app is also used by our employees to run the business (scheduling, time tracking, job photos, and similar). Employee data is handled under our internal employment policies; the parts of this policy about security, retention, and contact still apply.

2. Information we collect

Information you give us

  • Quote requests: your name, email address, phone number, property address, the type of service you are interested in, the type of property, whether the work relates to an insurance claim, and any message you write.
  • Customer accounts: your email address and a password you choose, or the name and email address shared with us when you sign in with Google or Apple. We never see or store your Google or Apple password.
  • Project information: details needed to design, permit, install, and invoice your system — property address, roof and electrical details, utility account information you provide, photos of the property, system size and equipment, and insurance claim numbers when a claim is involved.
  • Payment and billing: estimates, invoices, payment amounts and dates, and signatures on estimates or invoices. If you pay by card or bank transfer, the payment itself is processed by the payment provider named on the invoice; we do not store full card numbers or bank account numbers.
  • Communications: the content of messages, emails, and calls you exchange with us, and call or text records (phone number, time, duration).

Information collected automatically

  • Technical data: IP address, browser and device type, operating system, app version, and the pages or screens you view. Our hosting providers log this for security and to keep the site running.
  • Push notification tokens: if you turn on notifications in the mobile app, your device gives us a token so we can deliver them. It does not identify you personally and is deleted when you sign out or uninstall the app.
  • Photos and camera: the app asks for camera and photo library access only when you choose to upload a photo (for example, a picture of your roof or electrical panel). We only receive the photos you pick.

We do not collect precise location in the background, and we do not sell personal information of any kind.

Information from other sources

When a roofing contractor, insurance adjuster, or public adjuster refers you to us for a removal and reinstall, they may share your name, contact details, property address, and claim information with us so we can coordinate the work. We may also receive basic account details from Google or Apple when you use them to sign in.

3. How we use information

We use personal information to:

  • Respond to your quote request and prepare a proposal.
  • Design, permit, schedule, install, inspect, and service your solar system, and coordinate with your roofer, insurer, utility, and local permitting office where needed.
  • Create and deliver estimates, invoices, receipts, and project updates.
  • Provide the customer portal and mobile app, including sign-in and notifications.
  • Communicate with you by phone, text message, email, or in-app messaging about your project (see section 4 for texting rules).
  • Ask for feedback or a review after your project is complete.
  • Keep our website, app, and systems secure, prevent fraud and abuse, and enforce rate limits.
  • Meet legal, tax, licensing, warranty, and insurance obligations.
  • With your permission, show photos of completed installations in our marketing. We will always ask before using a photo that identifies your home or you.

We do not use your information for automated decision-making that has a legal or similarly significant effect on you, and we do not use it to train AI models.

4. Text messages and phone calls

By giving us your phone number — on the quote form, in the app, or in person — you agree that we may call or text you about your quote and your project. These are transactional and customer-care messages, such as appointment confirmations, scheduling updates, questions about your property, and invoice notices. Message frequency varies with the needs of your project.

  • We do not send marketing texts without your separate, explicit consent, and we never share your phone number or texting consent with third parties for their own marketing.
  • Opt out at any time by replying STOP to any text. You may receive one final message confirming that you have been unsubscribed. Reply HELP for assistance, or contact us using section 13.
  • Message and data rates may apply depending on your carrier plan.
  • Carriers are not liable for delayed or undelivered messages.

Mobile phone numbers collected for SMS are not sold, rented, or shared with third parties or affiliates for marketing purposes. Text-messaging opt-in data is not shared with any third party.

Our calls and texts are delivered through a telecommunications provider (currently Twilio). Calls placed through the app may be connected through our business number rather than an employee's personal phone. We may keep call logs and message history as part of your project record.

5. When we share information

We share personal information only as needed to run the business and deliver your project. We never sell personal information and we do not share it with data brokers.

Service providers that work for us

These companies process information on our behalf under contracts that limit what they can do with it:

  • Supabase — database, authentication, and file storage for the website and app (hosted in the United States).
  • Vercel — website and portal hosting.
  • Expo and Apple — mobile app delivery and push notifications.
  • Google and Apple — optional sign-in for customer accounts, and Google Workspace for our business email and calendar.
  • Resend — transactional email delivery (quote confirmations, invoices, password resets).
  • Twilio — text messaging and call bridging.
  • Dropbox — storage of project and marketing photos.
  • Document rendering providers — generating PDF estimates and invoices from the information on them.

Parties involved in your project

  • Roofing contractors, insurance companies, and adjusters when your work is part of a roofing job or insurance claim — limited to what is needed to coordinate and document the work.
  • Utilities and permitting authorities for interconnection applications, permits, and inspections.
  • Equipment manufacturers and financing partners for warranty registration or financing you choose to apply for.
  • Subcontractors and electricians who help perform the installation.

Legal and business reasons

We may disclose information when required by law, subpoena, or court order; to protect the rights, property, or safety of our customers, employees, or the public; to enforce our agreements; or as part of a merger, sale, or transfer of the business, in which case this policy will continue to apply to your information.

6. Cookies, analytics, and tracking

Our marketing website does not use advertising cookies, tracking pixels, or third-party analytics. The only cookies we set are strictly necessary ones used to keep you signed in to the customer portal and to protect forms from abuse. Because we do not track you across other sites, there is no cookie consent banner to dismiss, and we do not respond differently to “Do Not Track” signals — we simply do not track.

Our hosting providers keep standard server logs (IP address, request time, pages requested) for security and troubleshooting; these are retained for a short period and are not used to build profiles.

If we add analytics in the future, we will update this policy first and use a privacy-respecting, cookieless tool wherever possible.

7. How we protect information

We take reasonable technical and organizational measures to protect your data:

  • All traffic to our website, portal, and app is encrypted with HTTPS/TLS.
  • Data is stored with row-level access controls so each customer can only see their own projects, documents, and messages, and employees only see what their role requires.
  • Employee accounts use strong passwords and two-factor authentication; access to financial and personnel records is limited to the owner and operators.
  • Sensitive employee records are encrypted at rest and restricted to the business owner.
  • Public forms are rate-limited and validated to reduce spam and abuse.

No system is perfectly secure. If we learn of a breach that affects your personal information, we will notify you and any regulators as required by Missouri, Kansas, and other applicable law.

8. How long we keep information

  • Quote requests that do not become projects are kept for up to 2 years so we can follow up and respond if you come back, then deleted.
  • Project, estimate, invoice, and payment records are kept for the life of the system warranty and as long as required for tax, licensing, and insurance purposes (generally at least 7 years).
  • Customer portal accounts stay active until you delete them (see section 9) or until they have been inactive for an extended period.
  • Messages and call records are kept with the related project record.
  • Server logs and push tokens are kept only for a short period.

9. Your choices and rights

Regardless of where you live, you can:

  • Access and update your contact details and view your documents in the customer portal, or ask us for a copy of the personal information we hold about you.
  • Delete your account at any time from the app or portal (Account → Delete my account). This permanently removes your login. We keep the underlying project, invoice, and warranty records described in section 8 because we are required to, but they are no longer linked to an online account.
  • Stop texts by replying STOP (section 4), and turn off push notifications in your device settings.
  • Ask us to correct or delete other personal information, or to restrict how we use it, subject to our legal obligations.
  • Decline to have photos of your home used in marketing — just tell us, at any time.

Residents of states with consumer privacy laws (such as California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and others) may have additional rights, including the right to know, correct, delete, and opt out of the sale or sharing of personal information or targeted advertising. We do not sell or share personal information for targeted advertising, so there is nothing to opt out of; the other rights can be exercised by contacting us (section 13). We will verify your identity before acting on a request, respond within the time required by law, and will never discriminate against you for exercising your rights. If we deny a request, you may appeal by replying to our response.

10. Children's privacy

Our services are for adults who own or manage property. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

Our website and app may link to other sites (for example, utility incentive programs, equipment manufacturers, financing partners, or Google review pages) and may let you sign in with Google or Apple. Those services have their own privacy policies, and we encourage you to read them. We are not responsible for their practices.

12. Changes to this policy

We may update this policy as our services or the law change. The effective date at the top shows when it was last revised. For significant changes we will notify customers with an account by email or in the app before the changes take effect. Continued use of our services after that date means you accept the updated policy.
